Terms and Conditions.

1. Booking Your Event with Munch EVENT Catering

Event bookings must be confirmed in writing by the client. A non-refundable deposit of £500 is required to secure Munch Event Catering for your event date. For events totaling less than £500, or booking a date less than 30 days in advance, a deposit is not required, but full payment is mandatory.

2. Deposit

a) A deposit amount, will be provided in writing by Munch Event Catering.
b) This deposit will be deducted from the total event cost, which will be provided no later than 30 working days before the event.
c) Payment methods: We accept bank transfers and cash.

3. Booking Confirmation

a) Upon receipt of the deposit, Munch Event Catering will send a confirmation email along with a payment schedule detailing the deposit and balance payment deadlines.

4. Pricing and Guest Numbers

a) Food and beverage prices are subject to change due to market fluctuations or government taxes.
b) For children:

  • Guests over 12 years old are charged the full adult price.

  • Guests under 12 years old are charged half the adult price unless a specific children’s menu has been agreed.
    c) Any dietary or menu adjustments for children must be discussed and confirmed with Munch Event Catering in advance.

5. Final Payment and Guest Confirmation

a) Full payment for catering services must be received no later than 30 working days prior to the event.
b) Final guest numbers must be confirmed at least 60 working days prior to the event to finalize the event cost, staffing, and venue coordination.
c) Adjustments to guest numbers or requirements less than 30 working days before the event may not be accepted. Additional costs incurred after payment will require immediate settlement.
d) Non-payment by the due date may be treated as a cancellation and incur applicable charges.

6. Cancellation Policy

a) Cancellation must be submitted in writing and acknowledged by Munch Event Catering. Deposits are non-refundable. Additional charges apply:

  • 60+ working days before the event: No further charges.

  • Within 60 working days: 50% of the total event cost.

  • Within 21 working days: 100% of the total event cost.

    b) Any costs already incurred for the event will be charged to the client.

7. Dietary Requirements and Allergies

a) Munch Event Catering will accommodate dietary requirements and allergies where possible, provided notice is given at least 60 working days prior. However, we cannot guarantee the complete absence of allergens due to shared kitchen facilities.

8. Client-Provided Food and Drinks

a) Munch Event Catering is not liable for food provided by the client or other caterers.
b) We can serve client-supplied drinks subject to service fees and corkage charges.

9. Use of Equipment and Client Property

a) Clients are responsible for loss or damage to equipment, crockery, or glassware supplied by Munch Event Catering.
b) Munch Event Catering is not responsible for theft, loss, or damage to client or guest property during the event.

10. Liability

a) Munch Event Catering’s liability is limited to the amount covered by our public liability insurance. Details are available upon request.

11. Force Majeure

a) Munch Event Catering is not liable for failure to fulfil obligations due to unforeseen circumstances, such as natural disasters, strikes, or other events beyond our control.

12. Extended Event Hours

a) Staff required to remain beyond the agreed time will incur an additional charge of £22 plus VAT per hour, per person.

13. Event Cleanup

a) Cleanup is included within the agreed staff hours. Additional fees may apply if venue arrangements require extended staff hours.

14. Delivery

a) While we aim to meet agreed delivery times, Munch Event Catering is not liable for delays due to unforeseen circumstances.

15. Tastings

a) Tastings are available, subject to additional charges and scheduling availability.
b) Choice menus (e.g., 3/3/3) incur an additional charge of £5 per person.

16. Supplier and Staff Meals

a) Meals for suppliers (e.g., photographers, entertainers) must be pre-ordered and paid for in advance.

17. Venue Access and Setup

a) Adequate access and facilities must be provided for Munch Event Catering’s setup and delivery. Additional charges apply for challenges such as difficult access or delays caused by third-party vendors.
b) For marquee events, a catering tent, tables, power, lighting, and water must be provided.

18. Damage and Loss

a) The client is responsible for damage to Munch Event Catering’s property or hired items and may forfeit any applicable deposits.

Munch Event Catering reserves the right to amend these terms as necessary. Please ensure you have the most current version.
